Capture software lifted the fields off the document, but it could not apply the business behind them, so every order was checked and corrected by a person before it was booked. The cost was never the typing. It was the business logic behind it, which the legacy system made hard to see: the on-site pallet conversions, whether a forklift is needed at the delivery point, which of a customer’s many delivery addresses is the right one. That knowledge sat with experienced staff, and nowhere else.
We built an AI order processing agent that works the way the business works. It reads each order as it arrives and applies the supplier’s own rules; the product conversions, the delivery requirements, the correct address for the correct customer; then books it as a complete sales order, fully integrated with Microsoft Dynamics 365 (Business Central), with the original document attached.
And when the agent is not certain, it does not guess. The order is held for review with the original email and the proposed order side by side, ready to approve in one click. The team decides; the system does the work.
An order that took three to four minutes to check is now processed in under ten seconds. No one corrects a screen of extracted fields, nothing is lost, and every sales order lands in Business Central clean, consistent, and traceable back to its source document. The team reviews only the orders that need judgement, and order processing now scales the way the business does: without growing pains.
